Electronic Medical Record Software Maintenance Q & A

by admin on 08/04/2010

Q & A session on the topic of EMR software management for Maryland doctors offices and medical facilities.

David Bruce Jr (the marketing arm of CWP Tech Solutions) recently sat down with Brent Riely (top IT tech for CWP Tech Solutions) to find out just what it is the CWP does and why would a doctor want us to provide Medical IT services.

David asks Brent: What do the doctors need us for?
(I can’t sell it if I don’t know what we do, explain it to me like I’m in high school…)

Dave: the doctor can have billing software, scheduling software, practice management
software or an all-emcompassing EMR, Electronic Medical Records software.
Is that accurate?
Brent: Yes.
D: The doctor springs for the EMR, that's likely a multi-thousand dollar piece of software, right?
B: Correct.
D: What do they need us for?
B: The doctor's office needs us to put in the equipment that needs to
be used to run the software. The software company --
D: You're talking about hardware?
B: Correct.
D: Ok. Uh...
B: They normally supply a server, but do not supply the computer which to run the
software, or setup the network uh, to make sure that security --
D: So we make decisions like, do we make decisions like:
this office needs to have the billing, this other office needs to have the scheduling, this other office, or workstation, needs to have the practice management, and the boss needs to have all four. Is that accurate?
B: Yes.
D: That is accurate? I was right? I was right! Hahaha!
B: We would sit down with either the office manager or the doctor, whomever makes the decisions --
D: Ah, doctors have a office manager.
B: Most of the time.
D: That makes sense. So the office manager will have a different set of software, and maybe need to have more horsepower on that machine.
B: Different requirements, yeah.
D: Isn't that what I said? To have more horsepower. In geek speak, that's different requirements. All right. Now I interrupted. Explain to me what... Software company drops off the server, and they say "Have at it", and that's pretty much it?
B: Correct.
D: So they need us too...
B: Install the firewall --
D: Oh, they need a firewall too? That makes sense. So the doctor needs scheduling software, practice management software, billing software, the office manager's got to get those all over EMR, and then you need a firewall too, I hadn't thought of that, Ok.
B: You need Internet access --
D: Oh!
B: You need firewall, you need wireless maybe, um, and obviously you need the cable run to run all of your computers.
D: You mean like some of them might have X-ray machines that need a computer? Imaging software, stuff like that?
B: Yeah, it all depends on per practice.
D: For each practice, ok.
B: Depending on what different stuff. Different manufacturers might like our one client has, they take photos of veins, before and after, is type thing.
D: Veins. Ok.
B: Veins. If you have veins. Varcrouse veins and whatnot. And what they do is that company supplied everything, the computer, the printer, um, the camera, the whole setup, but didn't supply them how to get on the internet or connect to anything. So we were able to obviously tie it into the server and then they could load all the pictures on the server and use those pictures --
D: And we've done this for numerous doctors so we're like familiar with it.
B: Yes.
D: Ok, I like that. Now. Doctor buys the EMR, say it costs $10000, is that accurate, can it cost that much?
B: Yes
D: Can it cost more than $10000?
B: I've never priced out the All-Scripts product but yeah, it's going to be around there.
D: Ok, so a doctor buys the software for $10000. Does that come with the server? You got to buy a server too?
B: With joy, some of the time it does.
D: Ok, so we go over--
B: They will supply you a server, sometimes we can undercut it with a different server.
D: So a doctor buys this expensive software, drops off, er, the software company drops off the server, we get everything to work, and make all the appropriate offices and appropriate office managers have the appropriate software and make sure it all works so that nobody's unhappy. We leave. Software breaks down: do they call us, or do they call the software company?
B: Depends. A lot of the times depending on the software company on how good their customer support is, a lot of the times our customers call us.
D: I see, so sometimes people would rather call us, given the choice of calling the software company and calling us they'd rather call us, is that because we're better, faster, and cheaper? Or quicker?
B: We're better and faster.
D: We're better and faster and quicker and easier.
B: Yes.
D: That I like. Now, um. What happens like if their computer loses a database or something? That, that something--
B: That's something we would call All-Scripts and, or call the company, the EMR, and figure out what the, uh --
D: Nice, nice... Ok...
B: What the deal is...
Mary: Can I interject cause you're having me write it and I've got questions as you're asking questions.
D: We're recording.
M: Yeah, I know. If for instance the, when he was saying "Are you better, faster, cheaper, why would they call you instead of the manufacturers," they're going to pay to call you, correct?
B: Yes. A majority of the time. It all depends.
D: They're going to pay to call them too, aren't they?
B: Yeah. Not all the time.
M: And if in the case that they lose their database, we would -- you would interact the manufacturer.
B: Right, yeah.
D: Are we like interface with the manufacturer?
B: We got a repor with certain vendors, that we can get through and they know we can do stuff.
D: But mostly people want us because we're intimately familiar with the software we've set it up over and over and over again and if the stuff breaks down it's the same stuff breaks down all the time so we know how to fix it.
B: Yes.
D: Might that be why they call us before they call the manufacturer? Because we've there done that over and over again, and we can get in and out and get them up and running?
B: Yeah, because we have a backbone.
D: Ultimately, what everyone wants is to be up and running.
B: Yes.
D: And that's what we sell.
B: Yes.
D: Good. We keep them up and running. Oh my god, I found a hundred characters to describe what we do.
B: Our customer support is better than some of the vendors.
D: We keep the doctors up and running.
B: We have --
D: How many characters is that? Tell me that's under 110.
B: We have 80 clients that use this software, the software company has 50 million, so obviously we take precedent to... We can, we have a better chance of getting them fixed quicker --
D: Our response time's quicker and our service is more personalized than the large company. They're number one of 15000 people.
B: Yes.
D: "Hold please."
B: Now sometimes, I'll put a call in --
D: "Your wait time is 11 hours"
B: And I'll have the doctor put a call in.
D: Ok, oh we arm twist!
B: Yeah.
D: Yeah. That's good, ok.
B: Our deal is to keep our client happy, when it comes down to it.
D: Cool.
